For the purposes of UK data protection law we are the data controller for the information we hold about you. We are registered with the Information Commissioner’s Office under reference ZC205615.

The information we collect

Information you give us, including your name, date of birth, contact details, address history, marital status, dependants, nationality and residency status, employment and income details, bank account details, existing borrowing and credit commitments, assets, expenditure, and your objectives and plans.

Information about your health, where you apply for protection or equity release. Health information is treated as special category data and receives additional protection under law. We collect it only where it is necessary to arrange the cover you have asked for, and we will explain why at the point we ask.

Information from third parties, including credit reference agencies, lenders, insurers, your employer or accountant where you authorise it, and public registers.

Why we use it, and our lawful basis

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights. You may object to that processing at any time.

Who we share it with

We share your information only where it is necessary. Recipients may include:

  • Lenders, insurers and product providers you apply to

  • Our software providers, including our client management and mortgage sourcing systems

We do not sell your information, and we do not share it with third parties for their own marketing.

A search with a credit reference agency may leave a record on your credit file that other lenders can see. We will tell you before a hard search is carried out.

How long we keep it

We retain records for as long as necessary to meet our regulatory obligations and to defend any complaint. [RETENTION] Where you enquire but do not proceed, we hold your information for a shorter period and then delete it.

Where your information is held

Your information is held on servers within the UK or the European Economic Area wherever possible. Where a provider transfers data outside those areas, we ensure appropriate safeguards are in place, such as an International Data Transfer Agreement or an adequacy decision.

Keeping it secure

We apply technical and organisational measures appropriate to the sensitivity of the information we hold, including encryption in transit, access controls and secure document exchange. Please avoid sending sensitive documents by ordinary email, and ask us for a secure upload link instead.

Your rights

Under UK data protection law you have the right to:

  • Correct anything inaccurate or incomplete
  • Erase your information, where no legal or regulatory obligation requires us to keep it
  • Restrict how we process it in certain circumstances
  • Object to processing carried out on the basis of legitimate interests
  • Portability, meaning you can receive your information in a machine-readable format
  • Withdraw consent at any time, where consent is our lawful basis

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right.
